Privacy Policy

The protection of your personal data is very important to Polly Translation. I therefore process your data exclusively in accordance with the statutory regulations (GDPR, Austrian Telecommunications Act [TKG] 2003). The purpose of this privacy statement is to inform you about the most important aspects of data processing within the context of my website and my business activities as a language service provider (translator, editor).

1. Privacy Policy for the Website of Polly Translation

a. Using this Website

To use this website, you do not have to provide any personal data such as name, address or email address.

b. Contacting Me

If you contact me by email, the data you provide will be stored on the email server for twelve months to process the request and in case of follow-up questions (in accordance with Article 6 (1) (b) of the GDPR). I will not disclose these data to third parties without your express consent.

Please note that when transmitting data over the Internet (e.g. by email), there can be security gaps. It is not possible with electronic communication to protect your data completely from third-party access.

c. Data Storage

In order to be able to provide you with an offer or a cost estimate and for the purpose of contract processing, I will store the following data: name, address and email address. The data provided by you are necessary for the fulfillment of the contract or for the implementation of pre-contractual measures. Without these data, the contract between you and Polly Translation cannot be concluded. Your data will not be transferred to third parties, with the exception of the transfer of the data to my tax advisor for the fulfillment of my tax obligations.

All data will be processed in accordance with the statutory provisions pursuant to Article 96 (3) of the Austrian Telecommunications Act (TKG) and pursuant to Article 6 (1) (a) (consent) and/or (b) (necessary for the performance of the contract) of the GDPR.

d. Collecting of General Information

For technical reasons, the following data (among others), which are transmitted to me and/or my webspace provider by your internet browser, are collected (so-called server log files):

• browser type and version,
• operating system used,
• the web page from which you visit my site (referrer URL),
• the web page you visit,
• date and time of your access,
• your Internet Protocol (IP) address.

These anonymous data are stored separately from any personal data you may have provided, which means that no individual person can be identified based on them. They are evaluated for statistical purposes in order to optimize my online presence and the services I offer.

e. Cookies

Cookies are annoying. (Except the chocolatey kind, of course.) Therefore, my website does not use any cookies. No Google Analytics. No Google Fonts. Freedom!

2. Privacy Policy Regarding Polly Translation’s Business Activities

a. The purpose of the data processing is my activity as a language service provider (translator, editor).

b. The legal basis for the processing of the data are my business activities (contract, contract initiation and legal and statutory obligations) and marketing activities (legitimate interest, in this case the interest of the company in initiating business and intensifying the business relationship with existing and potential customers).

I process your personal data that fall under the following categories of data:

• Name or company name
• Occupation
• Contact person
• Address or business address
• Telephone number(s), email address(es), fax number
• Bank details
• UID or other tax identification number

You have voluntarily provided me with these data and I process these data based on your consent for the following purposes:

• Communication, customer service
• To send you offers and advertising materials as well as for the purpose of referring to the existing or former business relationship with the Client (references).

You may revoke this consent at any time. If you revoke your consent, I will no longer process your data for the above purposes from that point on. To revoke your consent, please contact me directly at office@pollytranslation.com

The data provided by you are necessary for the fulfillment of the contract or for the implementation of pre-contractual measures. Without these data, the contract between you and Polly Translation cannot be concluded.

I will store your data for the duration of our current business relationship or until the expiry of the retention period for tax purposes (7 years).

c. I share your data with the following recipients:
To process data for my own business purposes, I may disclose your data to banks (payment transactions) and to my tax advisor (accounting). To process data in order to provide services and support to my clients, I may disclose your data to cooperation partners such as subcontractors (for overall support and fulfillment of the order).

3. Your Rights

With regard to your data stored by Polly Translation, you are generally entitled to the rights of information, correction, deletion, restriction, data portability, revocation and objection. If you are of the opinion that the processing of your data violates data protection laws or that your data protection rights have been violated in any other way, you may complain to the supervisory authority. In Austria, this is the Data Protection Authority.
